Job Title: Operations Coordinator

Ministry/Department: Operations

Reports to: Director of Operations

Status: Full-time, non-exempt

Supervisory Role: No

Objective

To provide administrative support for the areas of responsibility of the Director of Operations including, but not limited to, Operations, Hospitality, IT and Safety and Security.\u00A0

Key Responsibilities

  • Assist with budgeting process and monitor monthly budget reviews with Operations team leaders
    • This includes running reports and gathering information from other ministry areas
  • Oversee Ministry Action Plans (MAPS) development and implementation across all ministry areas
    • Assist the Director of Operations in monthly updates to ensure the team is on-track
  • Work with the Director of Operations to manage operations, calendar and personnel across the operations team, including:
    • Partner with other ministry areas to create the \u2018master calendar\u2019 each year
    • Provide agendas, notes and action items for weekly meetings across the Operations Ministry
    • Gather updates on all projects, across all campuses
    • Communicate with vision ambassadors on behalf of the Director of Operations, as well as assist in planning vision ambassador dinners
    • Partner with the Director of Hospitality to ensure the annual staff retreat is executed at a high level
  • Collaborate with the entire Operations team to develop, monitor and achieve ministry goals and effectiveness, including:
    • Monthly budget review
    • Assist with projects
    • Partner with team to ensure proper and timely payment of invoices
    • Attend events throughout the year
  • Provide comprehensive calendar management and support for Operations Director
  • Coordinate meetings, ensuring they start and end on time and providing necessary materials in advance, may include:
    • Setting up rooms, developing agendas, creating handouts and presentations, taking notes in meetings and following up with individuals and/or tasks
  • Coordinate all travel arrangements for Operations Director and Operations team
  • Assist with budget preparation, tracking spending and completing timely reimbursem*nts
  • Assist budgeting process and monitor monthly budget reviews with Operations Director
  • Help oversee \u2018master calendar\u2019 ticket requests including:
    • Assist in maintaining and updating the \u2018master calendar\u2019
    • Familiarity with \u2018master calendar\u2019 events, tiers, rooms and processes at each campus
    • Helping to communicate any potential scheduling conflicts
  • Assist in the planning and execution of Eleven22\u2019s four big momentum events as well as other annual and semi-annual large-scale gatherings\u2013this would involve details like parking, serve staff and vendors
  • Partner with the Operations team in overseeing staff retreat, Hope\u2019s Closet\u00AE staff retreat and Expo\u2013help plan and prepare for these events as well as assist with budgeting for these retreats and conferences
  • Assist with Operations Ministry supported retreats at The Retreat Center
  • Assist Operations Ministry with execution of all events owned by the Operations Ministry
  • Other duties as assigned

Position Type/Expected Hours of Work

This is a full-time, non-exempt position. Days and hours of work may vary based on church need. Typical work week is Monday through Friday from 9am-5pm, but could vary based on different events we have throughout the year.

The church has several big events, (\u201CAll-Skates\u201D) throughout the year to help further the mission of Eleven22. These events are mandatory for all staff to be in attendance and may vary, depending on the vision cast for the current year.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, some lifting is required when setting up or breaking down for an event.

Ministerial Exception

The ministerial exception furthers the purposes of the Free Exercise and Establishment Clauses of the First Amendment by barring legal claims against church bodies by staff members who perform religious functions. All church pastors are subject to the exception, but a formal ministerial credential is not required. While there is no rigid formula to determine other church staff members that qualify, various factors are considered to determine which staff members are subject to the ministerial exception (please see handbook).

Staff members who qualify under the ministerial exception are not covered by federal and state employment and anti-discrimination laws. Please see the Human Resources Ministry team if you have questions on whether you are subject to the ministerial exception.
